Green Hub Volunteer

Basis: Minimum 1 x 3 hour shift but we hope you will want to do more! Shifts will fall within The Hub opening hours, please indicate your availability on the application form. The Hub is open Monday, Thursday, Friday, and Saturday, 10am-6pm and Sunday, 11am-5pm.

About the role

Can you be the friendly face of Greener and Cleaner? As we continue to grow, we’re looking for more volunteers to make people feel at ease and explain in simple terms how The Hub can help them make small changes in their lives to help fight climate change.

What will you be doing?

We’ve created a supportive, judgement free and engaging experience for visitors in our Hub where they can find out about climate change and what they can do about it. There is so much information out there that it’s really important to have a place people trust which can help them make informed decisions much more easily and less overwhelmingly.

Much of your time at The Hub will be spent chatting and pointing people in the right direction to get more information or support, helping make sure our events and workshops run smoothly, and there will be a chance to get involved in or lead other local projects should you wish.

No past experience or in-depth knowledge of sustainable living or community support is required. Job training and Carbon Literacy training is provided to all volunteers and there will be a host of other information you will have access to, such as the most common questions, concerns and materials that we and other sustainability groups have created. You will be supported by a network of people who share a passion for all things green.

A regular weekly 3-6 hour commitment would make a huge difference to The Hub, practical and cultural changes we are aiming to facilitate across south east London. If The Hub pilot is a success, it has the potential to be rolled out across the rest of the UK – and you will have been part of an amazing achievement!

Much like volunteering in a charity shop, animal sanctuary or church group etc, cover will be arranged for holidays or sickness.

Your responsibilities would include:

  • Greeting the public when they come into the Hub
  • Answering their questions, seeking out the correct answer and getting back to them when the answer isn’t readily available
  • Signposting visitors to other sources of information
  • Providing help to visitors who need to access customer services from the Library of Things
  • Conducting surveys and inputting the answers into an iPad
  • Taking donations via a card machine
  • Setting up information displays
  • Setting up the space for events, may involve moving light furniture
  • Assisting with workshops
  • Opening and closing the Hub
  • Keeping the Hub clean and tidy

Who are we looking for?

Someone who likes to approach and meet new people, with great communication skills.

You’ll ideally have broad shoulders and big ears. Someone who can listen well to the questions or concerns from visitors to The Hub. If the visitor is feeling overwhelmed by eco anxiety or the amount of information about climate change, being able to break this down and start with a simple step that works for that visitor.

Being supportive and encouraging. We love visitors to leave feeling empowered.

Able to either disseminate information in an engaging way, or know where to find resources, or take an enquiry and action it.

Be a team player. We’re mostly all part-time and/or volunteers all relying on and supporting each other in our climate change aspirations and helping others with their climate journey. We’re a very friendly bunch and warmly welcome new people on the team.

You’ll need to be over 18 and able to commit 3 hours a week.

What difference will you make?

This is about encouragement and experimentation: about trying and learning. We want to make people feel that whatever they can do helps, including your time that you can give to The Hub and its visitors. We are all learning together and it’s far less intimidating that way. The Hub is a judgement free zone for all. So it’s completely fine if you’re at the start of your own journey too. You’ll be enabling others to make changes to fight climate change in a way that’s achievable for them and reducing the environmental impact on the planet at the same time!

You’ll get to see the progression some of The Hub’s visitors make in their climate journeys and inspire others to start.

Repair Technician Volunteer

Basis: One Saturday per month 9am-1pm at our Repair Cafe in The Hub.

Section: Volunteer support

Reporting to: Events Coordinator

Location: Based in our Hub, situated in The Glades, Bromley

Responsible for: Providing repair services at our new repair cafe in The Hub.

About the role

The Hub from Greener and Cleaner is looking for handy volunteers to act as Repair Technicians at our new drop-in repair café. We are especially interested in anyone with skills in:

  • General household items
  • Electrical appliances

What will you be doing?

We’ve created a supportive, judgement-free and engaging experience for visitors in our Hub where they can find out about climate change and what they can do about it. Your role is central to helping reduce waste by repairing items brought to the repair cafe or, if we cannot repair an item, suggest alternative sustainable solutions or organisations that could help.

Be comfortable working in a customer-facing role in a diverse community.

Be a team player. We’re mostly all part-time and/or volunteers relying on, and supporting each other, in our various roles. We’re a very friendly bunch and warmly welcome new people on the team.

If you’ve had PAT testing training this would be an advantage, but not essential, as we can provide if necessary.

It would be helpful if you could provide some relevant tools for the type of repairs you will be doing, but again not essential.

You’ll be part of our pilot project which, if successful, will see versions of The Hub rolled out across the UK, providing a blueprint for others to be shared and upscaled.

This is about engagement and encouragement: We want to make people feel that there are other choices to binning items, particularly if they lack the practical skills to repair items themselves. Your role will be central to the repair cafe experience, reducing waste and increasing the confidence of visitors.

Community Gardener Volunteer

Basis: Attending the community garden at least once a month

Location: Greener and Cleaner Community Garden, Southlands Road Allotments, Baths Rd, Bromley.

Responsible for: Maintenance of our community garden.

About the role

The Hub from Greener and Cleaner is looking for volunteer Community Gardeners to help maintain our community allotment. We are especially interested in anyone with skills in:

  • General gardening (including physical work like digging, lifting, carrying things).
  • Growing and nurturing plants, trees, and flowers.

What will you be doing?

We’ve started a community garden to help others learn and practice skills for biodiversity, growing their own produce and a place for connection. Your role is central to the upkeep of our wonderful garden space.

Creative Technician Volunteer

Basis: Attend a monthly making event.

Section: Volunteer support

Location: Remote

Responsible for: Making items from reclaimed materials for fundraising sales and encouraging a creative upcycle and mend culture.

About the role

The Hub from Greener and Cleaner is looking for volunteer Creative Technicians to make items from reclaimed material to sell in The Hub, helping us highlight the need to care about where we live and the impact of our lifestyles. Creative Technicians will help to encourage a creative, upcycle and mend culture to reduce waste. We are especially interested in anyone with the following skills:

  • Artistic, creative or crafting skills
  • Able to think beyond throw-away culture
  • Able to reuse and repurpose materials to create something new
  • What will you be doing?
  • Combating the throwaway culture and reducing waste.

You’ll be pivotal in making items to sell by upcycling, recycling, reusing and repurposing materials to create items that can be sold in The Hub’s shop, which raises funds for the continuation of Greener and Cleaner.

JOB TITLE: Project Support Administrator

CLOSING DATE: 4th August 2024

SALARY: £26,500 per annum (full time equivalent). Role is available for between 3 and 3.5 days per week, salary pro rated to between £15,900 and £18,550 per annum. 6 months fixed term

REPORTING TO: Programme and Development Manager

LOCATION: Hybrid working with a minimum of 1 day at The Hub, Unit 268, Upper Mall, The Glades, Bromley, BR1 1DN

RESPONSIBLE FOR: Duties will vary by week but will include the following tasks (all can be trained if needed):

  • Finance (book-keeping entry and petty cash)
  • HR processes (undertaking DBS checks, supporting recruitment manager, placing adverts)
  • Data/Insight (collecting data from service users, creating and collating surveys, providing data from our system to support bids/queries)
  • Project planning/Diaries
  • Social media content/ posting
  • Hub administration (arranging maintenance visits, ordering consumables etc)
  • Volunteer Management (supporting scheduling and training)

  • Governance support (managing policies and procedures)

HOURS: Between 22.5 and 26.25 hours per week, with a minimum of 7.5 hours worked in the Hub.

ABOUT THE CHARITY:

Greener and Cleaner (G&C) grew out of the community. It was started in 2019 by a group of passionate and ambitious local residents in Bromley to activate local people in response to the environmental challenges our planet faces.

We are a truly grassroots organisation, having been initiated, and mostly run, by volunteers to date, with events and activities co-produced with our wider community. We are committed to working in collaboration, growing together, improving our neighbourhood and lowering impact. In 2021 we achieved charity status and have now grown to over 7,000 members and around 90 volunteers who regularly give up their time to teach, help and deliver impactful activities.

We value working in partnership and recognise and celebrate the participation of our team, volunteers and communities. We respect people and value diversity and work to create inclusive, non-judgemental spaces that are vibrant and regenerative places to work and volunteer; ensuring a positive work-life balance and a joyful and optimistic team culture.

CURRENT DELIVERY PROGRAMME:

Greener and Cleaner aim to enable, encourage, exemplify and engage residents on climate change and sustainable living and runs activities across this spectrum. We have opened The Greener and Cleaner Hub in The Glades shopping centre in Bromley, which is located in a prime part of the shopping centre close to HMV and McDonalds. The space is open 5 days/week and is manned by both paid staff and volunteers. It houses a Library of Things; provides advice to the public on all aspects of sustainability-focused behaviour change and hosts at least two free public workshops a week- these range from sewing skills to energy-saving advice to building resilience to addressing eco-anxiety.

We have also run a youth and schools outreach programme, hosting an annual school eco-networking event since 2019. We champion residents to use their voices to encourage change and ran the borough’s first environmental hustings in 2019. We have recently taken over a Community Allotment space. In addition, the funding that the charity has received allows us to document our activities and story and actively support other groups trying to set up similar projects across the country.

ABOUT THE HUB ROLE:

Greener and Cleaner (G&C) are looking for a Project Support Administrator to be part of a team ensuring the efficient running of the charity, and the requirements of our projects are met (both legal/regulatory, and funder requirements and reporting). They will be a key person in the success of the Hub project, ensuring that the Hub Team and the Programme and Development Manager have access to administrative support to maximise our reach and impact. Key to success in the role is flexibility and embracing autonomy. They will be organised, effective communicators and have a personal interest in the mission of Greener and Cleaner.

Please note: The successful candidate will be subject to a reference and may require an enhanced DBS check, in line with Greener and Cleaner’s Safer Recruitment policy.

PERSONAL SPEC

You will be organised and reliable, a steady pair of hands, who really likes to vary their days and get things done. It’s essential that you will be happy to work relatively autonomously once trained, although there will be plenty of opportunities to get involved with the wider Hub Project and charity team.

Ideally, you will have a good broad knowledge of some core business areas such as finances, marketing and HR, but upskilling and resources can be provided and flexibility and willingness to learn are the key skills required.

DUTIES AND RESPONSIBILITIES:

Specific duties will vary each week and not all will be known at the point of hiring as this is a new role fitting into a new team and we’re keen some development of the role is undertaken, but key duties will include:

  • Finance (book-keeping entry and petty cash)
  • HR administrative processes (undertaking DBS checks, supporting recruitment manager, placing adverts)

  • Hub administration (arranging maintenance visits, ordering consumables etc)
  • Volunteer Management (supporting scheduling and some aspects of governance/procedural training)
  • Encouraging individual giving/ donations via posters, events, and social media)
  • Governance support (managing policies and procedures, limited aspects of Board support)

Training will be provided for any responsibility areas allocated which don’t match previous experience.

Other Responsibilities:

  • To ensure adherence with all corporate Policies and Procedures in place, in particular Health and Safety Policy, Safeguarding and Equal Opportunities and Diversity Policy, that may change from time to time.
  • As a small organisation, it is important that all staff are able to work effectively as a team and provide mutual support. Therefore, the post holder may be called upon to assist in other aspects of the team and organisation’s activities.

LOCATION: Primarily The Hub, Unit 268, Upper Mall, The Glades, Bromley, BR1 1DN
RESPONSIBLE FOR: Specific duties will be allocated based on the mix of successful applicants and their background, skills and preferences, but the team will own:

  • Welcoming guests and service users to the Hub, offering support
  • Delivering activities within the Hub
  • Planning for and running markets and local events
  • Maintaining retail products and space
  • Volunteer recruitment and training
  • Volunteer scheduling/ admin
  • Event delivery – engagement/crafts and environmental education
  • Gathering data on service users and feedback on events/activities
  • On site resource management (storage/look and feel)
  • Encouraging individual giving/ donations and managing a limited budget

Training will be provided for any responsibility areas allocated which don’t match previous experience.

HOURS: Between 3.75 and 15 hours per week, with some roles to include weekend working. We would welcome applications from candidates happy to regularly work at the weekend e.g. looking for a weekend job. Please be specific in your application days/hours of preference.

ABOUT THE HUB ROLE:

Greener and Cleaner (G&C) are looking for a Hub Officer to be part of a team ensuring the efficient daily running of the Hub, reaching our community and scheduling of activities, as well as understanding what works. The Hub Officer will be friendly and welcoming to all volunteer and community members assisting them with queries, supporting or delivering events, and helping visitors access the ‘Library of Things’. They will be organised, effective communicators and have a personal interest in the mission of Greener and Cleaner.

PERSONAL SPEC

You will be organised and reliable, a steady pair of hands, who really likes to help others and give great service. It’s essential that you will be happy to work relatively autonomously once trained. You should be confident to open the Hub alone and/or to lead volunteers to support those dropping in or attending workshops, once trained.

Ideally, you will have a good broad knowledge of environmental issues and solutions to common problems and be happy to talk to others about this, but upskilling and resources can be provided.

DUTIES AND RESPONSIBILITIES:

Specific duties will be allocated based on the mix of successful applicants and their background, skills and preferences, but the team will own:

  • Opening and closing the Hub and making sure everything is set up and ready for the day/ cleared down at the end of day
    Welcoming guests and service users to the Hub, offering support
  • Delivering activities within the Hub
  • Planning for and running markets and local events
  • Maintaining retail products and space
  • Volunteer recruitment, training and support
  • Volunteer scheduling/ admin
  • Assisting in reaching new groups who could benefit from G&C services
  • Event delivery – engagement/crafts and environmental education
  • Gathering data on service users and feedback on events/activities and inputting to our system as appropriate
  • On site resource management (storage/look and feel)
  • Encouraging individual giving/ donations and managing a limited budget
  • Working alongside the Project Support Administrator to ensure financial procedures are followed, HR processes undertaken, lease and maintenance responsibilities are met, and Social Media activities are undertaken as planned
    Training will be provided for any responsibility areas allocated which don’t match previous experience.

To ensure adherence with all corporate Policies and Procedures in place, in particular Health and Safety Policy, Safeguarding and Equal Opportunities and Diversity Policy, that may change from time to time.
As a small organisation, it is important that all staff are able to work effectively as a team and provide mutual support. Therefore, the post holder may be called upon to assist in other aspects of the team and organisation’s activities.

It will develop and mobilise networks of young people to have the skills, motivation and confidence to act themselves and push for change in their local communities on sustainability issues.

ROLE: Volunteer Manager

Greener and Cleaner (G&C) are looking for our first Volunteer Coordinator for the charity, who will report to the Sustainability Hub Manager. This role will further develop the systems for the effective management and support of the organisation’s volunteers. The role will be
responsible for recruitment, induction and onboarding, training and development of our volunteers, as well as the continuous improvement of the Volunteer Programme to ensure we are actively encouraging and enabling all sections of the community to volunteer.

WHO WE ARE LOOKING FOR:

We are looking for someone dynamic and engaging, with excellent communication and people management skills, who has had experience running volunteer or human resources programmes with a diverse group of participants. This could have been within a corporate
context or for a small charity or a substantial delivery programme. Someone who enjoys leading and managing people and introducing processes to help drive a positive working culture and developing and growing people; who understands and has taken responsibility
for management of people’s time.

ROLE: The Hub Cover Staff

Maintaining service levels in The Hub when core Hub staff roles are not present

Part-time. Saturday role: between 4 – 16 hours per month
Cover role: zero hours PAYE contract with no guarantee of hours, but the first point of call status for any paid cover required. Both these roles are about ensuring cover in planned/unplanned absences and so will be flexible.

Cover and Saturday staff are needed to ensure the continued success of The Hub.

Greener and Cleaner are looking for staff to cover unmanned Saturdays (between 0.5 and 2 days per month) and/or planned and unplanned absences of the core staff (Sustainability Hub Manager, Hub Events Coordinator and Volunteer Manager).

The cover and Saturday roles entail:

  • ensuring the Hub can stay open during opening hours,
  • upholding minimum standards,
  • ensuring that planned events are not cancelled,
  • being present to answer queries from visitors to The Hub,
  • supporting those borrowing from the Library of Things,
  • offering clarity to volunteers working on those days on tasks required.
  • You may be asked to be a key holder.

Who we are looking for:

The Greener & Cleaner Finance Officer is an voluntary position supporting this growing Bromley-based charity.  The role would suit an individual with a finance background, ideally still operating in an accounting/bookkeeping role, and with a couple of hours a week available for volunteering.

Greener & Cleaner have recently achieved charitable status and this is an opportunity to support the growth of the charity by offering ongoing accounting advice and undertaking accounting processes on their behalf.  Some experience of working in the charitable sector would be a bonus, especially with respect to the governance required to manage a charity, but this is not essential.

The Charities Commission returns each year confirm the overall good governance of the charity and the following elements would sit under this voluntary position, with other aspects picked up by the Senior Leadership Team and Trustees.

  • Supporting forecasting and budgeting production, including actuals vs forecast analysis based on information provided by SLT and the Finance Trustee
  • Management of banking (online) including reconciliations and cashbook, including bank account(s), paypal account, sum-up account and various crowdfunder accounts
  • Authorisation of payments including expenses, and management of the pre-paid credit cards reconciliations
  • Payment of payroll (payroll calculated by external HR company)
  • Managing gift aid claims for individual donations
  • Provision of cash floats/banking facilities at events, if needed
  • Submission of annual statutory accounts and Charities Commission returns, maintenance of all accounting record as required by the charities commission
  • Liaison with external auditor/independent reviewer where required by charities commission
  • Requirement to attend some SLT/Board meetings; at most one per month for 30 minutes, usually in the evening and conducted remotely.

JOB SUMMARY

The HR Support will be part of a friendly and collaborative team running Greener and Cleaner. They will be responsible for improving the recruitment process of the charity from placing new job adverts out to onboarding the new starters. They will be responsible for onboarding new volunteers of the charity and will be the main point of contact for day to day queries. They will also have the ability to identify and improve the induction process for new members of the Greener and Cleaner Community so that it can be a smooth process for all involved and volunteers and staff have development opportunities.

It is also expected that the HR Support will have excellent customer service skills and is willing to effectively welcome new members of the team creating a happy and relaxed atmosphere.

We are looking for a reliable and organised individual who is happy to work autonomously and is invested in the success of our Charity. In addition to HR work, we may ask the individual to take on other administrative support tasks when workload allows.

MAIN DUTIES

  • Manage and oversee the volunteer recruitment process from onboarding onto our systems to ensuring their DBS and mandatory training has been completed.
  • Assist with rota management of the volunteers using applications such as Rota Central and ensure the Hub is fully staffed at all times.
  • Liaising with and managing the booking of Greener and Cleaner contractors to deliver funded projects.
  • Write high quality and attractive job descriptions for all new positions at Greener and Cleaner.
  • Be responsible for posting these job adverts on to multiple websites to reach and attract a wide range of job seekers wishing to enter the charity sector.
  • General administration tasks such as inbox monitoring, managing staff diaries, taking meeting minutes and coordinating meeting rooms.

RESPONSIBLE FOR: Project managing the delivery of Gift Bag workshops across the Borough of Bromley, supporting with the delivery of the workshops and ensuring completion of the project within time and budget with outcomes and reporting.

ABOUT THE CONTRACTOR ROLE: 

Greener and Cleaner (G&C) are looking for a Project Lead to help plan and implement a recently funded workshop project re-using fabrics and teaching sewing skills to deliver re-useable gift bags across the Borough. The Project Lead will set-up, manage and effectively report on outcomes of the 26 workshops which are due to take place in the Borough of Bromley from April to September 2022. The temporary contractor will be a sole trader or Limited Company outside IR35, on standard G&C terms (with contract allowing for future re-engagement for similar services if both parties are amenable by addition of an additional Schedule of Work).

DUTIES:

  • Creating the project plan with the Senior Leadership Team with a 2 week turnaround time.
  • Maintaining and continued running of the project plan ensuring it is always current/updated.
  • Defining the deliverables and ownership of each item, ensuring this is clearly communicated.
  • Tracking spend against budget
  • Reporting progress on the project deliverables.
  • Obtaining and actioning updates from other members of the project team
  • Supporting with social media, logistics, data gathering etc, once initial templates are created and in place
  • Ensuring the project is complete with a lesson learning exercise and an outcomes report.

 PERSON SPECIFICATION:

  • Will have some experience in project management, operational management, or event planning.
  • Committed to supporting the Charity to achieve its aims around normalising environmentally supportive behaviours in our community
  • Very well organised
  • Aware of project management techniques and tools and able to set these up (right sized to our project, not overly onerous)
  • Able to work autonomously on a day to day basis and report progress against project deliverables to the Senior Leadership Team
  • Confident communicating with people verbally and in writing and getting agreement from a range of individuals in short windows of time

The workshops will take place in the Borough of Bromley from April to September 2022. The temporary contractor will be a sole trader or Limited Company outside IR35, on standard G&C terms (with contract allowing for future re-engagement for similar services if both parties are amenable by addition of an additional Schedule of Work).

PERSONAL SPEC

  • Experienced and confident sewers and up-cyclers, capable of using machines and comfortable with basic hand sewing.

DUTIES AND RESPONSIBILITIES:

  • Outlining the benefits of reducing wrapping paper waste and old fabric and clothing waste, by learning how to sew and make reusable gift bags
  • Creating x2 reusable gift bag patterns and sharing in a format that can be printed for use at the workshop and to take home, and also to be shared for homework and marketing materials.
    • one pattern which is easier to cut and hand sew/finish and may involve upcycling (e.g. using pillow case, shirt sleeve, etc);
    • one pattern which requires the sewing machine, with i) a basic beginners pattern; and ii) an add on element to increase complexity for intermediate and expert sewers .Ideally this pattern can be offered in a couple of sizes;
  • Creating a homework sheet, to include top tips, fabric suggestions and sizes, and a list of local businesses selling sewing equipment and materials and also local charity shops near the workshop venue;
  • Liaising with the Assistants in advance to ensure they have the patterns and are comfortable doing them themselves, sharing any top tips for the patterns;
  • Sending the patterns and homework sheet to the volunteers in advance;
  • Providing a list of the types and sizes of fabrics, old clothes etc you recommend for the patterns, for attendees, assistants and volunteers in advance.
  • Bringing their own sewing machine (and/or overlocker and/or extra machine) if possible;
  • Assisting with to set up and pack up for the workshop
  • Preparing and/or making in advance a few simple gift bags so those lacking in confidence or who physically can’t use a machine can still hand sew or decorate something lovely/useful
  • Talking attendees through a short survey at the end of the workshop, to be filled in and returned before leaving.

PERSONAL SPEC

The right contractors will be experienced and confident sewers, capable of using machines and comfortable with basic hand sewing. They will feel comfortable and confident with the idea of helping the Workshop Teacher with teaching groups of adults (16+) and/or 14-20 years olds (NB we hope to have 1-3 volunteers to assist at each event but they will not necessarily be confident sewers).

  • A confident and experienced machine and hand sewer;
  • Ideally a Bromley resident or Business that is based in or has operated in or provided services in Bromley (or otherwise a resident or business based in S.E.London)
  • Experienced and/or comfortable with supporting with the teaching of adults (including elderly, disabled, and over 16s);

 Greener and Cleaner (G&C) are looking for two Textiles Expertss to help deliver a recently funded ‘Sustainable Fashion’ youth project in conjunction with the Queen’s 70th Jubilee.

The project aimed at sixth formers and college students (16-19 year olds) will aim to establish Sustainable Fashion Clubs at a widely diverse range of Schools, Colleges and Youth Groups across the borough; teach them sustainable crafting skills & empower them to up-cycle their own pieces of clothing.

To mark the Jubilee itself, we have chosen to focus the Greener and Cleaner Youth Outreach Service’s flagship Sustainable Fashion Project on 7 schools and to host a “final” collaborative Sustainable Fashion Show, either in the Community Hub or in the main atrium of The Glades shopping centre to share and celebrate the x2 winning creations from each of the 7 schools/colleges/youth groups who participated.

The Textiles Experts will be sufficiently skilled to teach the students how to upcycle/mend/design pieces of clothing to be re-used and re-loved. They will also be knowledgeable in the positive environmental impact of re-using and upcycling textiles helping to alter young people’s fashion purchasing behaviours. JOB TITLE: Finance, Payroll and Administration Officer

RESPONSIBLE FOR: Responsible for staff and contractor payroll, the reconciliation of income and expenses and general administration.
HOURS: 18.5 hours per week

JOB SUMMARY

The Finance, Payroll and Administration Officer will be part of a friendly and collaborative team.

They will be responsible for ensuring timely delivery of payroll to all staff members and contractors. They will also be expected to manage and reconcile the income and expenses streams of the charity, paying invoices and claiming gift aid etc, and ensure compliance with financial regulations  from The Charity Commission and other authorities as needed.

Given the varying tasks each week, the role will also be expected to help out with general administration tasks in the day to day running of the charity where time allows, such as inbox management, arranging meetings, minuting, producing materials etc.

It is expected that the Finance, Payroll and Administration Officer will have some previous experience in accounting or finance roles.

We are looking for a reliable and organised individual who is happy to work autonomously and invested in the success of our charity.

MAIN DUTIES

  • Responsible for reconciling the charities accounts via Xero including money coming in from grants and trusts as well as money going out via expenses. Ensuring the balancing of the charity books.
  • Oversee the timely payment of all staff and contractors on a monthly basis via the payroll system Citrus HR (payroll will already be calculated).
  • Maintain and monitor the cash flow forecast tracking and reporting, ensuring it is all up to date and accurate.
  • Oversee the set up and implementation of any associated systems for raising invoices and sending invoices and expense management of charity debit and credit cards.
  • Track and monitor the activity of the debit and credit cards for the charity ensuring reconciliation with Xero.
  • Notifying HMRC of any ongoing financial activity.including claims for Gift Aid
  • Tracking fundraising activities via SumUp, GoFundMe etc.
  • General administration tasks such as inbox monitoring, managing staff diaries, taking meeting minutes and coordinating meeting rooms.
  • Support and comply with G&C’s guidance on branding, tone of voice and key messages, positively contributing towards raising G&C’s profile.
  • Ensure compliance with Finance regulations with regard to The Charity Commission and other regulatory bodies.
  • Communicate on a regular basis with colleagues submitting the required information, providing verbal / written reports to their line manager and others as required and ensuring any targets are monitored and met.

  • To provide assistance to other teams, and areas of work, in response to changes in workload and operational requirements.

Identifying key stakeholder groups and ensuring completion of project on time and to budget.  Helping with outreach, engagement and support to key stakeholder groups and helping with planning and coordination of new projects with the Youth Outreach Coordinator, including the first project which will be helping to establish Sustainable Fashion Clubs at x7 schools and colleges.
HOURS: 0.5 days per week (with up to 10.5 additional paid days to help support the recently funded Sustainable Fashion Club project– this may add up to £1,655 onto the above salary).

The Project Manager will act as project lead on that project and other events and projects agreed with the Senior Leadership Team for improving local youth engagement with sustainability, the Hub and related community projects. We are keen to develop new ideas and projects with the youth community in Bromley and the Youth Outreach Manager will be instrumental in achieving this. The Youth Outreach Manager will have some project management experience and understand the mission of G&C to help promote the charity to the people of Bromley and beyond.

  • Testing new ideas and future projects with the community;
  • Project manage the Sustainable Fashion Club project ensuring it runs to schedule, on time and in budget, and that the evaluation and reporting element runs smoothly;

  • Maintaining and continued running of the Youth Outreach Service Strategy ensuring it is always current/updated;

  • Help to ensure the youth community within Bromley and the surrounding areas are aware of Greener and Cleaner and the work we do around sustainable living and the environment, part of this will involve liaising with and assisting the social media and marketing team where appropriate;
  • Help the Youth Outreach Manager identify and engage with key youth outreach stakeholders and develop an ongoing relationship for future projects (including identifying the 7 schools for the Platinum Jubilee Sustainable Fashion Club Project);
  • Testing new ideas and future projects with the community;
  • Assist in delivering the Sustainable Fashion Club project ensuring it runs smoothly;
  • Align with the charity’s mission on a more sustainable future and be an advocate for Greener and Cleaner;

  • Project manage the creation and scheduling of content across the different channels;

  • Build up a bank of marketing collateral that can be used across print and digital such as images and quotes from volunteers to help spread our message;

  • Assist with the supporting of volunteers to ensure they are getting the most out of their time at the G&C Hub;
  • Help to create a safe and friendly environment for all volunteers and guests of the hub, altering service to differing needs of members;
  • Administrative support to the Hub Coordinator and Events and Engagmenet Coordinator, manning inboxes, updating systems and similar
  • Help to ensure compliance with health and safety requirements (including COVID-19 measures).

 Other Responsibilities:

  • To help provide assistance to other teams, and areas of work, in response to changes in workload and operational requirements.
  • To ensure adherence with all corporate Policies and Procedures in place, in particular Health and Safety Policy and Equal Opportunities and Diversity Policy, that may change from time to time.
  • As a small organisation, it is important that all staff are able to work effectively as a team and provide mutual support. Greener and Cleaner (G&C) are looking for a fundraising bid writer to write up to 12 different bids in a year, in order to increase the funds available to the charity. We hope to bring someone on board who will remain with us for some time, learning the charity’s mission, people, strengths and ways of working, rather than supporting on one bid only. The fundraising bid writer will additionally support the development of a fundraising strategy to identify which leads would be the most promising for G&C. They will support execution of the strategy, developing proposals and win themes for larger bids, and support the writing of high quality bids to potential funders including grants, trusts & foundations and individual donors. The temporary contractor will be a sole trader or Limited Company outside IR35, on standard G&C terms (with contract allowing for future re-engagement for similar services if both parties are amenable by addition of an additional Schedule of Work).

They will ideally have understanding of areas such as research techniques, customer insight, data analysis, and social value measurement.

They will have excellent analytical skills, understand the mission of the charity and be able to effectively identify the measures which will be most effective at understanding the impact of the work. However, this role is not just designing methodologies, but also undertaking research, gathering data and speaking to service users to assess impact.

They will be comfortable networking, highlighting the benefits of joining the BEN therefore having sufficient knowledge on environmental challenges currently facing the world. They will be mixing project management with copywriting and networking skills and will have a sound understanding of G&C’s mission.   • To coordinate and liaise with the Events Manager, Marketing Manager and Hub Manager for G&C to ensure accurate updates and consistency of messaging in the copy this role will write for G&C’s update in the monthly newsletter;
  • To onboard any new members of the BEN;
  • Support the G&C Senior Management team (and the BEN Executive) on the ongoing strategy around the growth of the BEN;
  • Ensure targets are put in place and execute said targets eg around reaching out to community groups, schools, colleges etc per week;
  • To be able to redirect any question from members of G&C to the correct group or person once trained by the CEO;

The fashion shows will take place in the schools and the photographer must be able to attend at least 3 shows. We are looking for 10 edited images per school including a range of behind-the-scenes images and the catwalk itself. The contractor will be available over the period of one year to photograph all the shows. All images will be copyright of Greener & Cleaner. The candidate will have a good eye for design and be able to capture the story-telling and essence of the sustainable fashion shoe project in their images. We are happy to hear from individuals with one or more of the skills listed, not all are necessary to apply.

The temporary contractor will be a sole trader or Limited Company outside IR35, on standard G&C terms (with contract allowing for future re-engagement for similar services if both parties are amenable by addition of an additional Schedule of Work).

PERSONAL SPEC

  • Prior experience with photography
  • Ideally a Bromley resident or Bromley based Business (or otherwise a resident or business based in S.E.London)
  • Experience with editing images
  • Attention to detail and an eye for design

DUTIES AND RESPONSIBILITIES:

  • To capture high quality images of the Sustainable Fashion Shows across seven different schools in the Bromley area;
  • To edit the photographs taken after the event and collate 10 high quality pictures showcasing the event per school;
  • To capture the story-telling nature of the sustainable fashion show project in graphical format to be used across websites and social media;
  • To showcase the fashion shows ‘In-action’ from behind-the-scene shots to the catwalk runway;
  • To work with the Marketing and Events Coordinators to ensure the right images are being captured to reflect the image of Greener & Cleaner;
  • To be available for at least three of the fashion shows;
  • Building a clear understanding of G&C’s mission statement and how to bring that across in graphic design.
